This Booking & Cancellation Policy explains how bookings, deposits, cancellations, postponements, and refunds are handled by Lumiere One Events.

This policy should be read together with our Terms & Conditions and any proposal, invoice, or client agreement issued for your event.

1. Enquiries and Consultations

Submitting an enquiry or attending a consultation does not create a booking.

A booking is only confirmed when:

  • Lumiere One Events has confirmed the scope of services in writing
  • You have accepted the relevant proposal, booking form, or client agreement
  • Any required deposit or payment has been received
  • Venue and supplier arrangements have been confirmed where required
  • Lumiere One Events confirms the booking in writing

2. Proposals and Availability

Proposals, estimates, and availability checks are provided based on the information available at the time.

Venue, supplier, accommodation, and service availability may change until a booking is formally confirmed.

Prices may also change due to guest count, season, service scope, supplier fees, venue rules, taxes, or other event requirements.

3. Deposits

A deposit may be required to secure Lumiere One Events services, begin planning work, reserve planning time, or proceed with venue and supplier coordination.

Unless otherwise stated in writing:

  • Deposits are applied towards the total service fee
  • Deposits may be non-refundable once planning work has started or once third-party commitments have been made
  • A booking is not confirmed until the required deposit has been received
  • Third-party venues and suppliers may have their own deposit and refund terms

The exact deposit amount and payment schedule will be stated in the proposal, invoice, or client agreement.

4. Payment Schedule

The payment schedule will be agreed in writing.

A typical payment structure may include:

  • Initial deposit
  • Interim planning payment
  • Final balance before the event date

If payment is not received by the due date, Lumiere One Events may pause planning work, delay supplier confirmations, or cancel the booking after reasonable notice.

5. Client Cancellation

If you wish to cancel your booking, you must notify Lumiere One Events in writing.

Cancellation charges may apply depending on:

  • The date of cancellation
  • The amount of planning work already completed
  • Venue and supplier commitments already made
  • Non-refundable third-party deposits
  • Administrative work undertaken
  • The possibility of rebooking the date
  • The terms of the client agreement

Where a separate client agreement has been signed, the cancellation terms in that agreement will apply.

6. Suggested Cancellation Structure

The final cancellation structure should be confirmed by a Cyprus lawyer before publication. A possible structure is:

  • Cancellation more than 90 days before the event: deposit may be retained; additional costs already incurred may be payable
  • Cancellation 60–90 days before the event: a percentage of the agreed planning fee may be payable
  • Cancellation 30–60 days before the event: a higher percentage of the agreed planning fee may be payable
  • Cancellation less than 30 days before the event: the full agreed planning fee may be payable

Third-party venue and supplier payments may be subject to separate terms and may not be refundable.

7. Client Postponement

If you wish to postpone your event, Lumiere One Events will make reasonable efforts to support a new date.

Postponement will depend on:

  • Lumiere One Events availability
  • Venue availability
  • Supplier availability
  • Seasonal pricing
  • Third-party terms
  • Any additional work required

Additional fees may apply if the new date requires extra planning work, revised supplier arrangements, updated proposals, or changes in scope.

8. Cancellation by Lumiere One Events

Lumiere One Events may cancel or withdraw from a booking where:

  • Required payments are not made
  • The client provides false or misleading information
  • The event becomes unsafe, unlawful, or unmanageable
  • The client or guests act abusively or irresponsibly
  • The client refuses to comply with venue, supplier, legal, or safety requirements
  • A force majeure event prevents performance
  • Continuing the booking would expose Lumiere One Events, suppliers, guests, or venues to unreasonable risk

Where cancellation is caused by Lumiere One Events without client fault or force majeure, we will discuss a fair solution, which may include rescheduling, partial refund, or alternative arrangements, depending on the circumstances and work already completed.

9. Third-Party Venue and Supplier Cancellation

Venues, hotels, villas, caterers, entertainment providers, decorators, photographers, transport providers, and other suppliers may have their own booking, payment, cancellation, postponement, and refund terms.

Lumiere One Events is not responsible for third-party cancellation terms unless we have expressly agreed otherwise in writing.

10. Consumer Cancellation and Withdrawal Rights

Where consumer cancellation or withdrawal rights apply under Cyprus or EU law, Lumiere One Events will respect those rights.

Because event planning, accommodation, catering, leisure, and date-specific services may be subject to special rules, exceptions, or separate third-party terms, your proposal or client agreement should clearly state the applicable cancellation and withdrawal position for your booking.

If you are unsure, please ask before making payment.

11. Force Majeure

If an event cannot proceed due to circumstances outside reasonable control, Lumiere One Events will work with the client, venue, and suppliers to explore reasonable alternatives.

Force majeure events may include:

  • Extreme weather
  • Natural disaster
  • Fire or flooding
  • Serious illness
  • Pandemic restrictions
  • Government restrictions
  • Travel disruption
  • Strikes
  • Civil unrest
  • Venue closure
  • Supplier failure
  • Power failure
  • Other unforeseeable events outside reasonable control

Refunds, credits, postponements, and cancellation charges will depend on the client agreement, third-party terms, costs already incurred, and the circumstances.

12. Changes to Event Scope

Changes to the event date, venue, guest count, style, service level, or supplier requirements may affect the price and timeline.

Any significant change should be confirmed in writing and may require a revised proposal or additional payment.
